Audience: lists, subscribers and segments

Keep your contacts in lists, add and import subscribers, keep the list clean, and group people with segments so each email reaches the right readers.

Find it in: Audience → Overview, Lists, Subscribers, Segments 27 steps

Everyone you email lives in a list. A list holds subscribers (one row per email address), the fields you store about them, such as first name or city, and its own sign-up and unsubscribe pages.

A segment is a saved filter inside a list, for example "opened an email in the last 30 days". You can send a campaign to a whole list or to one of its segments.

This guide covers the audience overview, lists, subscribers and segments. Sign-up forms and pop-ups have their own guide: see Forms.

Verify email addresses

Check a whole list for bad addresses before you send.

Build segments

Group subscribers by fields, tags, verification result or email activity.

Export to CSV

Download a whole list or just one segment.

See your whole audience

The Overview page adds up every list in your account, so you can check growth and list health without opening each list.

  1. Open the audience overview

    In the left sidebar, under Audience, click Overview.

    At the top you see Audience health: the share of your subscribers who can receive email, and how many are Subscribed, Unconfirmed, Unsubscribed and Blacklisted. Below it, four cards show the same totals with the number of new subscribers in the last 30 days.

  2. Check how your audience is growing

    Scroll down to the charts:

    • Subscriber growth shows new subscribers per month for the last 6 months.
    • Subscriber breakdown shows the status mix of all your contacts.
    • Daily signups — last 30 days shows new subscribers per day, compared with the 30 days before.
  3. Jump to a list or a quick action

    At the bottom, Quick actions lets you Create a list, Import contacts into your largest list, or View all lists. The All lists table shows each list with its subscribers, open rate and click rate. Click View → to open a list.

Create a list

Create a separate list for each group of people who signed up for something different, for example a newsletter and a product-update list. If the difference is only who they are or what they did, use one list and a segment instead.

  1. Open Lists and click Create list

    In the sidebar, click Lists. You see every list with its subscribers, Open rate, Click rate and Response rate. Use Search lists... and Sort by date to find a list quickly.

    Click Create list in the top right corner.

  2. Fill in the list details

    Under List details, enter:

    • List name — only you see it, so choose something clear.
    • From name and From email — the sender your subscribers see in their inbox.

    Under Subscription settings, choose:

    • Double opt-in — new subscribers must click a link in a confirmation email before they count as subscribed. This keeps fake and mistyped addresses out.
    • Send welcome email — send a welcome email when someone subscribes.
    • Unsubscribe notification — get an email when someone unsubscribes.

    Click Create list.

  3. Use the list menu

    Back on Lists, click ⋯ at the end of a row for everything you can do with that list: Overview, Subscribers, Add subscriber, Segments, Embedded form, Manage fields, Settings, Import, Export, Copy, Email verification and Delete.

Set up a list

Click a list name to open its dashboard. The row of tabs at the top is the same on every page of the list, so you can move between them in one click. The list switcher in the top right corner opens the same page for another list.

  1. Open the list dashboard

    The Overview tab shows this list's subscribers, Avg. open rate, Click rate, Subscribe rate, Unsub rate, and how many are Unconfirmed and Blacklisted. Further down you find a setup checklist, growth charts and the most recent subscribers.

    The tabs are: Overview, Settings, Subscribers, Segments, Forms / Pages, Manage list fields and Email verification.

  2. Change the list settings

    Click Settings to change the list name, sender details and subscription options you chose when creating the list. Click Save settings when you are done.

  3. Add custom fields

    Click Manage list fields. Every list starts with Email, First name and Last name. Email is required and cannot be removed.

    Under Add field, click the type of field you need: Text, Number, Dropdown, Multi-select, Checkbox, Radio, Date, Date & time, Text area or Phone.

  4. Name the field and save

    The new field opens below the others. Fill in:

    • Label — the name people see on forms.
    • Tag — the short code you use to put the value into an email, for example {{ SUBSCRIBER_FAVOURITE_PRODUCT }}. Use capital letters, numbers and underscores only.
    • Default value — optional.
    • Required and Visible — whether the field must be filled in, and whether it shows on forms.

    For Dropdown, Multi-select and Radio, add the choices under Options (label — value) with Add option. Drag the dots on the left to change the order. Click Save fields.

  5. Customise the list pages and emails

    Click Forms / Pages to edit what subscribers see: the Embedded form, Sign-up form, Thank-you page and Welcome email; the Unsubscribe form, its Success page and Goodbye email; and the pages used to update a profile. All templates lists them all.

    To design pop-ups and forms for your website, use the Forms module instead. See the Forms guide.

Add and import subscribers

Add people one at a time, or import many at once from a CSV file. People can also join by themselves through a sign-up form (see Forms) or be added by your own software through the API.

  1. Add one subscriber

    Open the list and click Add subscriber in the top right corner (or choose Subscribers → Add in the tabs). Enter the Email and any other fields, then click Add subscriber.

    The new person is added as Subscribed, and any active automation for this list starts for them.

  2. Open the import page

    Open the list, click the arrow next to Subscribers and choose Import. The page shows how the import works and what your file needs:

    • a CSV (or tab-separated .txt) file with column names in the first row;
    • an Email column;
    • UTF-8 encoding, so accents and other special characters come through correctly.

    Not sure about the format? Click Download sample CSV. When your file is ready, click Start import.

  3. Upload, map and import

    The import window walks you through four steps:

    1. Upload CSV — drag your file onto the box, or click it to choose the file.
    2. Map fields — for each column in your file, choose Map to existing field or Create new field. The Email column must be mapped. Click Next: Settings.
    3. Settings — under Duplicate handling, choose Skip existing subscribers (only add new emails) or Update existing subscribers (refresh their field values). Tick the extra boxes only if your file has status or tags columns that should overwrite what is stored. Click Start import.
    4. Import — watch the progress. When it finishes, click Download log to see any rows that failed, then Finish.

Find and manage subscribers

Every subscriber has a status:

Status What it means
Subscribed Confirmed and will receive your emails.
Unconfirmed Joined a list with double opt-in but has not clicked the confirmation link yet. Does not receive campaigns.
Unsubscribed Opted out of this list. Does not receive campaigns.
Blacklisted Blocked from receiving any email from your account.

The Verification column shows the result of an email check, if the list has been verified: Deliverable, Risky, Undeliverable or Unknown.

  1. Open the subscriber list and filter it

    Click Subscribers in the sidebar (it opens your first list) or open any list and click Subscribers.

    Use the filters above the table:

    1. All statuses — show only subscribed, unsubscribed, unconfirmed or blacklisted people.
    2. All verification — show only one verification result.
    3. All tags — show only the people who carry one tag. The number next to each tag is how many people in the list have it. This filter appears once someone in the list has a tag.
    4. Search by email or name... — find a person.

    The filters combine: for example, Subscribed and the tag lead shows subscribed leads only.

    Sort by changes the order, and Columns lets you show or hide columns such as the created and updated dates, or Tags to see each person's tags in the table.

  2. Search for a subscriber

    Type part of an email address or name in the search box. The table updates as you type.

  3. Open a subscriber profile

    Click an email address to open the profile. Under Basic information you see the status and name, and you can change the email and any field. Click Save changes to keep your edits.

    On the right, Email verification shows the last check of this address, with Reset verification to clear it.

  4. Tag a subscriber

    Tags are short labels, such as vip or webinar-2026, that you can use later to filter the list, in segments, and to count results on your dashboard. In the Tags box, type one or more tags separated by commas and click +.

    To tag many people at once, use the bulk action Add tag(s) described below.

  5. Act on one subscriber

    Click ⋯ at the end of a row for quick actions: Edit, Subscribe or Unsubscribe, Copy to or Move to another list, Send confirmation email (for unconfirmed people) and Delete.

  6. Act on many subscribers at once

    Tick the boxes on the left, or open Select and choose Whole page or All subscribers. All subscribers means everyone who matches your current filters and search, not the whole list. An Actions button appears with the number selected. It offers:

    • Add tag(s), Remove tag(s) and Assign values (set a field for everyone selected);
    • Subscribe, Unsubscribe and Send confirmation email;
    • Copy to and Move to another list;
    • Delete, Bulk delete (paste a list of email addresses to remove) and Blacklist.

Export and clean your list

  1. Export subscribers to CSV

    Open the list, click the arrow next to Subscribers and choose Export.

    1. Export entire list — everyone in the list.
    2. Export a specific segment — then choose the segment below.
    3. Click Start export. When the file is ready, a download button appears.

    The file contains email addresses, all custom fields, tags and subscription status, and opens in Excel or Google Sheets.

  2. Verify the email addresses

    Click Email verification in the list tabs. The cards show how many addresses are Verified and Unverified, and your Credits available for checks.

    1. Under Select verification server, choose the service to use.
    2. Click Start verification.

    When it finishes, Verification results splits the list into Deliverable, Undeliverable, Risky and Unknown. Filter the subscriber table by All verification to find the bad addresses, then unsubscribe or delete them. Reset verification data clears all results so you can check again.

Group subscribers with segments

A segment is a set of rules, not a copy of your subscribers. Nobody is moved or duplicated, and the segment updates by itself: when someone opens an email, gets a tag or changes a field, they join or leave the segment automatically. That is why a segment is the right choice when you want "everyone who…", and a separate list is the right choice for a different sign-up.

  1. Open the segments of a list

    Click Segments in the sidebar (it opens your first list), or open a list and click Segments. You see how many segments the list has, the size of each one under Segment sizes, and a table with each segment's rules and number of subscribers.

    Click New segment.

  2. Name the segment and add a condition

    Enter a Segment name, then click Add condition. A row appears with three parts: what to check, how to compare, and the value.

  3. Set the conditions and save

    1. Match subscribers who meet — choose All (a person must match every condition) or Any (one condition is enough).

    2. For each condition, choose what to check:

      • List fields — any field, such as Email or a custom field;
      • Verification result;
      • Tag — contains or does not contain a tag;
      • Activities — Last opened email, Last link click, Email reply or Created date.

      Then choose the comparison and type the value. The example finds people tagged vip who opened an email in the last 30 days.

    3. Click Save segment.

  4. Edit or delete a segment

    In the segment table, click ⋯ at the end of a row: Edit changes the name and rules, View subscribers shows who is in it now, and Delete removes the segment. Deleting a segment never deletes subscribers.

  5. See who is in the segment

    View subscribers shows the number of matching subscribers and the people themselves. Filter them by status, or click Edit segment to change the rules.

    To email only these people, choose the segment as the recipients when you create a campaign. See the Campaigns guide.

Common questions

Should I create a new list or a segment?

Create a new list when people signed up for something different, for example a newsletter and a webinar. Use a segment when it is the same list and you only want to reach part of it, for example people who clicked in the last 14 days. Segments update by themselves, so you never have to maintain them.

Why is a subscriber "Unconfirmed"?

The list uses Double opt-in and the person has not clicked the link in the confirmation email yet. Unconfirmed people do not receive campaigns. You can send the email again with Send confirmation email from the row menu or the Actions menu.

What happens to email addresses that are already in the list when I import?

You decide in the Settings step of the import. Skip existing subscribers leaves them as they are and only adds new addresses. Update existing subscribers refreshes their field values; their status and tags only change if you tick the two extra boxes.

What is the difference between Unsubscribed and Blacklisted?

Unsubscribed means the person opted out of that one list. Blacklisted means the address is blocked from receiving any email from your account. Use blacklist for addresses that complained or must never be emailed again.

Can I get deleted subscribers back?

No. Deleting subscribers, a list or a field cannot be undone. If you are not sure, Export the list first, or Unsubscribe people instead of deleting them.
